Policy statement

Our role in providing expert care for children alongside their families means that we must gain relevant information prior to confirming a child’s admission to our nursery. Gathering key information about a child’s medical needs, background, and where relevant additional needs, ensures that we do everything possible to meet children’s individual needs and to keep them safe, happy and developing.

Our policies use the term parents and carers for those who have parental responsibility, and the use of the plural does not assume that a child will always have two parents. We also recognise that in some circumstances the Local Authority or other individuals as deemed by the courts may have special guardianship of a child.

Your Responsibility Under This Policy

You must take time to read and understand the principles and expectations in this policy. If you don’t understand what is expected of you, you must seek clarification from your Nursery Manager.

Provision

As outlined in the 2024 EYFS framework, we are restricted to the number and ages of children that we may care for at any one time. Ofsted registration enables us to care for 48 children under the age of 10 years, 42 of which may be under 5 years old and 7 of these may be under 1 year old at any one time. Therefore all admissions are taken up to this capacity. Parents may be added on to a waiting list and contacted upon space availability. Spaces are allocated on a first come, first serve basis.

Childcare and Early Education Entitlements

We offer the following:

  • Universal Entitlement (UE) for all 3- and 4-year-olds
  • 15 Hours Entitlement for children of working parents aged 9 months – 2 years.
  • Extended 30 hours Entitlement (EE) for eligible children of working parents from 9 months + from September 2025
  • 15 hours for single income & benefit-claiming households of children aged 2 years.

We accept the following: 

  • Tax-Free Childcare
  • Most work-based childcare vouchers

Parents/Carers can access our funded childcare via two models: 

  • 15/30 hours per week over 38 weeks, term-time only.
  • 9/25 hours per week over 48 weeks, all year round.

Sessions outside of this are charged at our standard session rates. 

Parents are required to complete a Parent Declaration Form in full, to claim any funding at Kiddisafe.

Admissions Procedure

Upon registration, parents/carers are required to provide important and relevant information for their child and family before starting nursery, to ensure the child and their families’ needs can be met.

This includes information related to:

  • Medical needs
  • Additional needs
  • Dietary needs
  • An overview of the families background 
  • More than two emergency contacts, where possible

Attendance during funded sessions

Parents/Carers have a duty to inform the nursery should their child be unable to attend for any reason. Particularly where funding is being claimed, we are obliged to monitor attendance and inform the Local Authority (Leicester City Council) if attendance falls below 90%.  Kiddisafe is not obliged to provide alternative sessions where a child has been absent. 

Failure to Make Contact

Parents who fail to provide us with notice of absence, or where the nursery has attempted to make contact with no response and the nursery becomes concerned, the following action will be taken:

  • Attempts will be made to reach the provided emergency contacts.
  • If no information is obtained, we will make a home visit to make sure all is well.
  • In a case where we are unable to make contact with the family and we have no information on where the child or family are we will contact the police to investigate matters further.
    To ensure the safety of the child and family, it is our duty of care to ensure the child/family’s safety is maintained.

 

Additional charges

We charge for certain additional services. These are listed below:
AM- Breakfast/Lunch half day Fee: £6.00 daily        PM- Snack/Tea half day Fee: £6.00 daily                                  

Holiday Care over 5+: £6.00hr                                 School Pick Up & drop offs £6.50+

Upon registration, a one-off payment is made of £65.00 to cover the cost of services provided by Kiddisafe that are not included in the funded provision. This includes:

  • Stay and plays are held three times in the year, at a total rate of £5 to cover the staffing, resource, and admin time required.
  • External visits to community hubs requires staffing, admin, preparation and appropriate risk assessing before such visits can be undertaken. This is charged at a total rate of £3. 
  • Parent workshops are held at least three times in the year to engage and facilitate parent learning, connection and better outcomes for children in our care. Total cost of £3.
  • Subsidised rates for external agencies to provide access to outdoor sports sessions and exotic animals onsite. Total rate £3.

Please see our Instagram page for examples of our projects and events. A one-off charge enables free access to parents throughout the year without constant cause for chasing up one off payments, putting individual children at risk of missing out on exciting learning opportunities.

Please note that if you are accessing childcare and early years entitlements, government funding is not intended to cover the cost of meals, other consumables, additional hours or additional services. If you are only accessing funded hours then these charges are optional and are not a condition of accessing a free place. All additional charges will be itemised on your invoice. If you experience difficulties meeting the cost of these additional services please speak to a member of management.

Occasional charges

There may be times that other fees are added to your monthly invoice. These may include:

Late collection fee: £1.00 per 1 minute’s late collection. Early arrival: £1.00 per 1mins. Late collection after 6pm fee: £10.00 per 15 minutes.

Late payment fee: Your regular payment is due on 10th of each month Late payment incurs a fee of £10.00 per week. All invoices incur a£1.00 admin fee.

Payment

Service fees and deposit payment (in the case of booking paid sessions) to be made on the day of registration.

Payment in advance of: four weeks, All Invoices fees are paid monthly. Preferred mode of payment cash, cheque, BACS, Card Visa debit.

 

Holidays and unplanned absences

We take few days’ holiday at Christmas each year which is charged at 0%.

Normal fees apply in the case of parents’ holiday all bank holiday closures.

If we have to close the nursery at short notice, for example because of sickness or emergencies, the following arrangements apply:

Kiddisafe will provide missed sessions to parents/carers on alternative days where possible. If not possible pending circumstances a refund of 25% of booked session fee may be provided. When closures occur beyond our control fees will not be eligible for a refund.
